Information for Coordinators

Information for School Based Art Heritage CoordinatorsArt Heritage Logo

To participate in the D51 Art Heritage Program, we ask schools to:

  • Provide an "art cart" (a wheeled cart that can hold the Art Heritage supplies)
  • Provide a protected space to store the cart (safe from "borrowing" by staff at school or others)
  • Designate a School Coordinator to represent the school for the year.

The School Coordinator is responsible for attending trainings, sharing information about the featured art unit with other volunteers, as well as handling the pick up and timely return of the loaned art materials.

  • Place a "sign out" calendar on the art cart so volunteers can indicate when they are checking out the materials and to avoid double-booking.
  • Go through your list of past Art Heritage volunteers and possible new recruits. Contact them and get a commitment for the school year. Talk with classroom teachers and seek their help in recruiting a classroom volunteer. Collect and organize the information, making personal contact with each art volunteer:

(Sample conversation:)
“You, Susie, will be in Mrs. Smith's 2nd Grade class this school year, providing six Art Heritage lessons. The trainings are at the district's BTK building, 596 N. Westgate Dr. near the mall behind B&H Sports on Patterson Road. The date for the training is: Thurs. Sept. 19, 9:30am to noon. The Art Heritage lesson is on a Japanese artist, Hokusai. The folks at training will tell you what you need to know to get started. All you'll need to do, Susie, is attend the training and make sure you set up a time with the teacher when you will present the lesson.

  • Ensure each teacher/classroom has one or two volunteers assigned to them and ask the teacher to be the person who communicates with their Art Heritage volunteer –setting the dates and times for the six presentations (which need to be AFTER the dates of the trainings!) – and discussing special considerations (such as adapting lessons with a student with special needs.)
  • Let your volunteers know about upcoming days off or special events at the school as well as the testing schedule. Help them be aware of the procedure for Fire Alarms and Shelter in Place.
  • Note: It is D51 Board of Education policy (IJOC) that volunteers be under the direct supervision of a certified staff person. Teachers are to remain in the classroom during the presentation and art activity.
  • Talk with Tracy or Taryn as needed -- we are most easily contacted by email: [email protected] and [email protected]
